TRAVEL TERMS & CONDITIONS
Please read the Terms and Conditions below and confirm your agreement before proceeding with your booking.
GENERAL CONDITIONS
By booking a tour with Mongolia Experience LLC hereafter referred to as “ME”, the client enters into a legally binding travel agreement. Bookings may be made online, by email, by phone, or in writing. Once the Company confirms the booking, the contract becomes effective for all listed participants.
A deposit of 25% of the total tour price is required to confirm the booking.
The deposit is non-refundable.
Our payment schedule is:
25% at booking
25% 6 months before the trip
50% 4 months before the trip
To cancel participation in a trip, clients must notify Mongolia Experience in writing by email. Cancellation penalties will be applied based on the date we receive the written cancellation notice. It is the client’s responsibility to follow up and confirm that the cancellation request has been received.
- A 25% deposit is non-refundable for all trips, except in extreme circumstances (such as death).
- If the second payment (25% of the trip price) has been received, it is refundable minus the first deposit and any prepaid expenses if cancellation is made more than 150 days prior to departure.
- If the final balance has been paid in full, it is refundable minus the first deposit and any prepaid expenses if cancellation is made more than 119 days prior to departure.
- No refunds will be issued within 119 days or less of the departure date.
Mongolia Experience is not responsible for any additional expenses incurred by clients as a result of trip cancellation, including but not limited to airfare, visa fees, vaccinations, equipment purchases, or other non-refundable costs.
The Company may cancel a tour if the minimum number of participants is not reached or due to force majeure events, including but not limited to natural disasters, political instability, pandemics, strikes, or other unforeseen circumstances. In such cases, clients will receive a full refund or may choose an alternative tour.
Tour prices are quoted per person and include services specified in the confirmed itinerary. Services not explicitly mentioned are not included. Any additional services or itinerary changes must be agreed upon in writing.
ME reserves the right to make reasonable changes to the itinerary due to weather conditions, safety concerns, road conditions, or other operational reasons. Such changes are made in the best interest of clients and do not reduce the overall quality of the tour.
Travel insurance is not included in the tour price. Clients are strongly advised to purchase comprehensive travel insurance covering medical expenses, trip cancellation, and personal belongings.
Clients are expected to respect local laws, customs, and cultural traditions, and to follow the instructions of guides and staff. The Company is not responsible for loss, damage, or injury resulting from irresponsible behavior.
Clients are responsible for ensuring that they have valid passports, visas, and meet all health and vaccination requirements. The Company is not liable for denied entry or travel disruptions caused by improper documentation.
The Company may use photographs or videos taken during the tour for promotional purposes unless the client submits a written objection prior to the tour.
On tours, tips for guides, drivers, porters and servers in restaurants will not be included unless otherwise stated.
This agreement is governed by the laws of Mongolia. Any disputes shall be resolved in Ulaanbaatar, Mongolia.
By confirming a booking, the client acknowledges that they have read, understood, and accepted these Terms & Conditions.
By completing an online booking and/or making a payment, the client confirms acceptance of these Terms & Conditions, even without a physical signature.
SIGNATURE & CONFIRMATION
You must be 18 years of age or older to sign this form.
If the traveler is under 18 years old, this form must be signed by a parent or legal guardian, who must also indicate their relationship to the traveler.
